TerraSond, a precision geospatial solutions provider based in Palmer, AK is seeking a temporary (5-6 months) Receptionist/Information Clerk to support its summer season survey efforts in Alaska. Under the direction of the Lead Project Coordinator, the Receptionist / Information Clerk provides reception, general clerical assistance and support to all office staff members, including but not limited to: answering TerraSond’s multi-line phone system, greeting all walk-in traffic, scanning, photocopying, filing, mailing, shipping and receiving, ordering office and kitchen supplies, cleaning kitchen/break room areas and coordinating company events such as meals for meetings, holiday party, conferences, etc. The Receptionist / Information Clerk will help coordinate arrangements, as needed, for employee travel and lodging including air, hotel, TerraHouse, cab service, and rental cars. Utilizing all available methods to keep travel costs to a minimum. Tracking flight costs and schedules in travel logs, Travel Calendar, flight spreadsheet and matching charges for flights to the monthly credit card expense report.

Responsibilities include but not limited to the following:
Manage front office reception area by providing front line customer service both over the phone as well as in person.
Operate multi-line phone system. Answer phones in a professional manner, direct calls and take messages as appropriate
Greeting walk-in traffic by offering fresh coffee and directing them to their requested individual or meeting place
Prepare special reports, word processing, research information, compose, type, proofread and copy correspondence
Facilitate deliveries, sign for deliveries, order pickups, prepare, sort and distribute mail
Arrange national and international shipping through FedEx, USPS, UPS and DHL
Oversee general office upkeep (keep break and conference rooms clean, prepare coffee)
Assist all staff members as needed with filing, scanning, photocopying, binding, data entry, printing labels, prepare large mail outs and other documentation preparation projects
Maintain office supply inventory, order supplies as necessary
Facilitate meeting and special event planning and execution
Perform travel scheduling to include flight reservations, flight changes, cab service, TerraHouse reservations, hotel bookings and rental car arrangements
Complete all company HSE training; actively participate in regular safety meetings, take meeting notes and minutes
A High School Diploma, GED or equivalent
2 years of relevant experience or training
Experience with answering and transferring calls on a multi-line phone system
Proficient in Microsoft Suite programs especially Microsoft Outlook
Experience with standard office equipment including personal computer, multi-line telephone system, portable phone, fax machine, copier/scanner, postage machine, card scanner, 10 key calculator, multiple printers and coffee makers

Excellent oral and written communication skills, to include a clear speaking voice in the English language; multi-lingual a plus
Ability to maintain strict confidentiality
Interface with vendors and employees in a professional and courteous manner, both in person and over the phone
Working knowledge of computers
Must be able to handle multiple interruptions and adjustment to priorities throughout the day

Working Conditions:
Work is performed in an indoor office environment and requires sitting for long periods of time. Responsibilities may require an adjusted work schedule, long days and evening/weekend hours in order to meet deadlines.
